What Is the Best Scalable Lab Inventory Software? Why Labcup Grows From One Lab to a Multi-Site Organisation

Labcup is a modular, cloud-based laboratory inventory system. Start small as a startup or research group, then grow to campus-wide and multi-site with statistics, reports and dashboards.

Why scalability matters when choosing laboratory inventory software

  1. One lab: First module, a few users
  2. Department: More modules and groups
  3. Campus: Shared stock rooms and equipment
  4. Multi-site: Central statistics and dashboards

One system and one database at every stage.

Most laboratories start by tracking chemicals in spreadsheets. That works for a handful of people, but breaks down as the lab grows: duplicate purchases increase, expired reagents pile up, safety data sheets (SDS) go out of date, and nobody knows what is stored where.

Switching systems at that point is costly, because data has to be cleaned, migrated and re-labelled. The most cost-effective approach is software that fits today and grows tomorrow. A scalable laboratory inventory system should let you:

  • start with a small number of users and only the functions you need
  • add new modules (equipment, safety, waste, purchasing, biology) as requirements grow
  • add new laboratories, departments, buildings or entire sites to the same system
  • give management a consolidated view across all locations

Labcup is designed around exactly these principles. For where spreadsheets stop being enough, see Labcup vs. Excel: Why Labs Are Moving Off Spreadsheets for Inventory Management.

Modular design: pay for what you need, add the rest later

Labcup is built from independent but tightly integrated modules. An organisation can begin with one module and activate others when needed:

barcode/ID tracking of every item, chemical structure search, automatic SDS and GHS data sourcing, stock taking and label printing.

management of biological samples, integrated with the chemical and consumables inventory.

equipment sharing, instrument booking, maintenance and calibration records, training prerequisites.

risk assessments (COSHH and custom), Maximum Allowable Quantities (MAQs), compliance reporting, automatic IFC hazard classification and NFPA 704 rating.

live hazard information for fire crews and visual mapping of laboratories.

waste streams, labelled waste containers and ADR packaging for hazardous waste.

federated search, purchase approval workflows and supplier ordering.

clean, centrally managed chemical data with approval and duplicate merging.

secure integration with your existing IT infrastructure.

Every module shares the same database, so adding one later does not create a new data silo. A chemical registered on day one is automatically available to the safety, waste and purchasing modules when they are switched on.

Built for startups: start small, grow without switching systems

A life science startup typically begins with one lab, a few researchers and a limited budget. With Labcup, a startup can:

  1. import its existing Excel inventory (chemicals, equipment, users and lab structure)
  2. start with the Chemical Inventory module to replace spreadsheets
  3. add equipment booking, safety compliance or purchasing when the team grows
  4. add new locations when the company moves to a larger site or opens a second one

Labcup is cloud-based and works in a web browser on any device, from smartphones to desktops. There is no local installation and minimal IT overhead for a small team. All data remains the property of the customer and can be exported at any time.

Multi-site support with central statistics, reports and dashboards

For organisations running several laboratories, buildings or sites, Labcup provides one system with a structured hierarchy: sites, buildings, departments, labs and storage locations.

  • Local autonomy: each lab manages its own inventory day to day.
  • Central oversight: the Safety Officer role gives full oversight of a building, department, campus or site, with search by any parameter and hazard mapping on digital floorplans.
  • Statistics and decision support: the statistical module lets management review consumption, stock levels, costs and compliance across sites.
  • One-click reporting: reports and dashboards are generated with a click, for example compliance reports, MAQ status per laboratory, maintenance history or used-up chemicals.

Multi-site companies can compare locations, spot overstock or duplicate purchasing, and prepare audits without consolidating spreadsheets by hand.

For universities: from one research group to a campus-wide system

A single research group can start using Labcup in one laboratory, then extend it to the department, the faculty and eventually the entire campus. As adoption grows, the benefits multiply because resources can be shared across groups.

Sharing chemicals

With federated search, a researcher looking for a chemical sees their own group's stock and everything other groups have made available on site. Only if nothing suitable is found do they need to order, with one click to the supplier's webshop via the Purchasing module. This reduces duplicate purchases and waste.

Sharing equipment

Expensive instruments can be registered in Asset Inventory & Booking and shared between research groups. Users book instruments online, group administrators control access, and training records can be required before booking. Maintenance and calibration reminders keep shared equipment in working order.

Shared stock rooms and central storage

Labcup supports shared stock rooms and central storage rooms. A common and effective model:

  1. A central store buys frequently used materials, such as solvents, in bulk at a lower unit price.
  2. The store repacks them into smaller containers, each with its own barcode and label in Labcup.
  3. The smaller units are distributed or shared among departments and research groups, with full traceability.

This lowers purchasing costs, reduces the number of large containers stored in individual labs (helping labs stay within MAQ limits), and keeps every container traceable from purchase to disposal. A central Loading Bay function lets incoming goods be received, registered and labelled in one place.

Proven in research institutions

Labcup is used by universities and research organisations, including academic partners such as Imperial College London, UCL, King's College London, Trinity College Dublin, the University of Edinburgh and the University of Manchester.

Trinity College Dublin's School of Pharmaceutical Sciences started with a pilot in 2014 and moved to full rollout in 2016, reporting savings from eliminating duplicate chemical purchases across departments. Imperial College's experience with chemical storage and inventory in research was also described in an article in ACS Chemical Health & Safety.
